The Challenge
Using a ‘legacy’ pharmacy system meant Touchwood Pharmacy staff were tied to their PCs all day and frequently dealing with a backlog of prescription fulfilment to complete as walk-in patients unintentionally disrupted the flow of processing.
The pharmacy ‘To Do’ list felt like it was rarely moving fully to ‘Done’.
Could a different system assist in optimising staff time, utilising each staff member with their unique skills, to create a workflow and process that meant focus could be shifted to healthcare provision rather than prescription hunting?
Apotec CRM was selected by Touchwood Pharmacy Group as their PMR system of choice in 2025, and implemented across their estate within 5 months, in order to address this and many other critical challenge(s).
The Approach
Working with Touchwood Group employees, Apotec demonstrated the benefits of being able to process all available prescriptions for a patient in one flow. No more returning to a home page to select the next prescription for a patient, a simple selection of all prescriptions you wish to process, and walk through the CRM dispensing wizard.
With this immediate advantage demonstrated, the next benefit became clear to users. Having performed an appropriate clinical check for a patient through initial dispensing, Apotec CRM remembers this decision, what elements were present (for example medication history, conditions, allergies, age etc.) who made it and when. This means as a patient’s history is built (and checked) CRM users are quickly in a position to prepare prescriptions for patients who have no changes made to their medication, medical condition(s) or other key parameters, to a state of readiness for collection or delivery without needing to interfere with the Pharmacists ‘To Do’ list.
In fact, only those prescriptions/patients that do require a clinical check are put on the Pharmacists ‘To Do’ list, and this is easily accessible and managed within the CRM, another benefit as there is no more time spent wondering which pile of prescriptions need checking.
